Class Specifications for the Class:
SR-20, BU-04
Duties Summary:
Plans, assigns, supervises and reviews a variety of complex legal clerical and
technical legal work in a law office; may perform difficult and complex technical legal work;
supervises and directs the administrative housekeeping and office services functions of a
law office; and performs other related duties as required
Distinguishing Characteristics:
This class is distinguished by its responsibility to plan and coordinate the legal
clerical and technical legal work activities, and to supervise and direct the administrative
housekeeping and office services functions of a law office.
Examples of Duties: (The following are examples of duties and are not necessarily
descriptive of any one position in this class. The omission of specific duties statements does
not preclude management from assigning such duties if such duties are a logical
assignment for the position).
• Supervises, plans, and coordinates a variety of legal clerical and technical legal work
activities of a law office;
• Determines work priorities and assignments, reviews work of subordinates, and
provides guidance on work procedures and office policies;
• Supervises and directs the administrative housekeeping and office services functions
of a law office;
• Acts as liaison for the office with other County departments and agencies regarding
administrative operations and functions of the office;
• Addresses office safety and security issues and takes appropriate action;
• Coordinates, and is the contact person for office and equipment repairs;
• Supervises the establishment and maintenance of a variety of files and records;
• Sets up procedures to control incoming and outgoing materials and pending
completed work;

• Revises work procedures and implements operational policies for greater efficiency
and coordination between various functional units;
• Works closely with the courts and other agencies in setting up overall procedures for
the division;
• Researches files and documents in more complex matters and assists attorneys and
subordinates in preparing pleadings and other documents as may be required;
• Provides information or, as required, refers callers and/or visitors to appropriate staff
members and/or other agencies;
• Compiles data and statistics for periodic performance reports;
• Trains new and existing employees in office policies and procedures, work methods,
etc.;
• Recommends personnel actions including hiring, promotion, transfer, discipline, and
termination; approves requests for leaves; prepares performance evaluations;
• Assists in the planning of office personnel, equipment, budgetary, and operational
needs;
• Assists in the internal management of the legal office as required.
Knowledge of:
Principles and practices of supervision; commonly used legal terms, practices,
procedures, and forms; basic constitutional property, tort, family, criminal, and
administrative law; the commercial code and contracts; types of court actions and court
rules and procedures; methods and techniques of legal research and sources of legal
information; legal writing; interviewing techniques; and law office practices and procedures.
Ability to:
Plan, direct, and coordinate the work of staff engaged in legal and clerical activities;
gather and compile data for budgetary and other purposes; locate and abstract data from
legal files and records; read, write, analyze, and apply the law; understand and explain legal
procedures and processes; prepare, process, and maintain legal records, forms, and
documents; conduct research; compile and summarize materials; draft documents; prepare
reports; give and follow oral and written instructions; keep matters confidential; operate
common office equipment, including a personal computer and peripherals; and deal
effectively with employees and the public.

Minimum Qualification Specifications
for the Class:
SR-20, BU-04
Training and Experience:
A combination of education and experience substantially equivalent to graduation
from high school; and
• three and one half (3 ½) years of specialized work experience; and
• two (2) years of supervisory experience.
Qualifying Specialized Work Experience:
Progressively responsible work experience in a legal or judicial environment which
involved preparing and reviewing legal documents for compliance with laws, policies,
procedures, and court rules, including experience conducting legal research and drafting
legal documents and forms.
Qualifying Supervisory Work Experience:
Work experience which includes planning, directing, assigning, and reviewing the
work of others; advising subordinates on difficult program areas; timing and scheduling
subordinate work; and training and developing new employees
Substitutions Allowed:
The following may be substituted for education:
A. Four (4) years of full-time general work experience may be substituted for a high
school diploma.
B. Successful completion of semester credits leading towards a degree or diploma from
an accredited community college, college or university, trades school, etc., may be
substituted for up to four (4) years of the education requirement (15 semester
credits = 6 months).
C. An Associate’s, Bachelor’s, Master’s or PhD degree from an accredited community
college, college or university, trades school, etc., may be substituted for the
education requirement.

The following may be substituted for experience:
A. Successful completion of semester credits leading towards a degree or diploma in
legal secretary studies, paralegal studies, legal studies, law, or a related field from an
accredited community college, trades school, may be substituted for up to four (4)
years of the specialized work experience requirement (15 semester credits = 6
months).
B. An Associate’s degree in legal secretary studies, paralegal studies, legal studies, law,
or related field from an accredited community college, business, or technical school,
may be substituted for up to two (2) years of the specialized work experience
requirement.
C. A Bachelor’s degree in legal secretary studies, paralegal studies, legal studies, law, or
a related field from an accredited college or university may be substituted for up to
four (4) years of the specialized work experience requirement.
D. A Master’s or PhD degree in legal secretary studies, paralegal studies, legal studies,
law, or a related field from an accredited college or university may be substituted for
up to one (1) year of the specialized work experience requirement.
E. A Juris Doctor degree from an accredited college or university may be substituted for
up to four (4) years of the specialized work experience requirement.
If a degree is used to substitute for the education requirement, it may not be used
again towards the experience requirement. If work experience is used to substitute for
education, it may not be used again to meet the experience requirement. If the applicant
holds more than one degree, transcripts must be provided, and a thorough review will be
conducted by the human resources staff in order for more than one degree to be credited
towards the minimum qualification requirements. Additional degrees can be considered if
obtained independently through mutually exclusive classes from another degree being
considered. Substitutions will be used to the advantage of the applicant.
Quality of Experience:
Possession of the required number of years of experience will not in itself be
accepted as proof of qualification for a position. The applicant's overall experience must
have been of such scope and level of responsibility as to conclusively demonstrate that they
have the ability to perform the duties of the position for which they are being considered.
License Requirement:
Possession of the appropriate licenses or certificates as required of the position.

Selective Certification:
Specialized knowledge, skills and abilities may be required to perform the duties of
some positions. For such positions, Selective Certification Requirements may be
established, and certification may be restricted to eligibles who possess the pertinent
experience and/or training required to perform the duties of the position.
Departments/Agencies requesting Selective Certification must show the connection
between the kind of training and/or experience on which they wish to base selective
certification and the duties of the position to be filled.
Tests:
Applicants may be required to qualify on an appropriate examination.
Health and Physical Condition Requirements:
Persons seeking appointment to positions in this class must meet the health and
physical condition standards deemed necessary and proper to perform the essential
functions of the position with or without reasonable accommodations.
